Project Assistant



Project Assistants are responsible for assisting Project Managers by performing specific project tasks assigned to them. Responsibilities include, but are not limited to:


  • Setting up projects including:
  1. Entering data in a project database
  2. Entering data and uploading files to a project workflow system
  3. Preparing paperwork
  • Assisting in basic file preparation including activities such as extracting, cleaning up extractions, cutting and pasting, road-mapping and word-counting.
  • Working with project vendors
  1. Assisting in lining up vendors to meet the requirements of the project
  2. Creating purchase orders
  3. Assisting in preparing guidelines and resources for vendors to perform their work
  4. Compiling lists of questions and answers from vendors
  • Assisting in account maintenance including:
  1. Writing minutes of kickoff and debrief meetings
  2. Assisting in maintaining records on specific processes and client preferences
  3. Creating and updating style guides and glossaries
  • Filing projects upon billing.
  • Using required tools and following required processes.
  • Reporting on activity as required.


  • Associate's degree or higher (willing to consider college students pursuing an Associate's or Batchelor's if able to work the required hours)
  • Efficient, detail-oriented, and organized person who can be responsive to a deadline and results driven environment.
  • Ability to balance one's own workload and be able to respond effectively to competing priorities.
  • Ability to understand and abide by project instructions
  • Ability to work independently as well as part of a team
  • Ability to calculate percentages

Preferred Experience:

  • At least one year experience in an office production environment
  • Experience with data-entry type work
  • Proven proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
