Responsibilities

The Proposal Coordinator will assemble a tender team with the relevant service / product / business knowledge required to prepare a highly qualitative and coherent proposal, whilst taking ownership of the end-to-end bid process. Responsibilities include analysis and implementation of all necessary tender procedures and collaborative processes. This role requires an ability to work under pressure and to challenging deadlines while working in close cooperation with the other members of the EPSU team and with technical and support departments. It will require strong networking/relationships management and writing skills.

 

Core Responsibilities:

  • Setting up tender alerts through relevant notification platforms covering the European region and the United Nations system
  • Distributing daily identified tender/quote opportunities to the EPSU team
  • Managing the tender qualification (bid go / no go) process for new opportunities
  • Supervising/supporting tender teams and inputs from a variety of stakeholders, typically involving contributions from sales, marketing, product teams, finance, commercial, legal and delivery
  • Creating and updating the templates necessary to submit coherent proposals
  • Communicating efficiently with the EPSU team members and other stakeholders to ensure all instructions are clear and concise
  • Contributing to the written proposal - both in terms of content and presentation (such as preparation of a management summary)
  • Preparing and reviewing the editorial and commercial aspects of the bid, ensuring all services are included in the final price to the customer
  • Risk tracking and management throughout the tender process
  • Ensure timely delivery of compliant and commercially sound tenders
  • Understand and resolve complex technical, strategic and business issues
  • Ready to attend tender openings and other industry-related events
  • Arrange all post tender reviews with customers, post contract award

Qualifications

The Proposal Coordinator will demonstrate at least 3 years experience in writing, coordinating and supervising calls for tenders and procurement solutions for EU institutions and European and international public sector organizations. She or He will also have a proven track record in managing awarded public or private contracts in liaison with the relevant production and quality assurance departments. She or he will have a good knowledge of the translation industry, processes and workflows and very good analytical skills.
